How to Present the Activities and Achievements of the IDP Councils Effectively: Practical Recommendations (Webinar)

IDP Councils are required to inform the public about their activities in accordance with CMU Resolution No. 812 dated August 4, 2023. However, simply reporting is not enough. It is critically important to present your work in a way that is visible, clear, and impactful.

On April 23, the Charity Foundation “Stabilization Support Services” held a webinar for members of the IDP Councils on the topic “Presentation of Activities and Achievements of the IDP Councils.”

The webinar speaker, Anastasiia Serbina, an expert on internal displacement and democratic governance, and founder of the AS Training Group, discussed how to report on the activities of the IDP Council in compliance with the law, how to create an engaging, clear, and meaningful presentation, and what to consider when organizing a presentation.

Here is what the Council should disclose:

  • The Council’s working procedures and plan;
  • The dates, agenda, and results of its meetings;
  • Minutes of its meetings, including the recommendations adopted and their implementation;
  • Annual activity reports;
  • The composition of the Council and its working groups, and their contact details.

What counts as an achievement?


An achievement is not just what was done, but its impact.
To document an achievement:

  1. Describe the IDP Council’s role in solving the problem.
  2. Specify the tools the IDP Council used.
  3. Record the results.
  4. Describe the positive impact of the problem’s resolution on IDPs within the community.

Example:

Kropyvnytska Territorial Community 

In 2022–2023, there was no children’s health improvement program in the community, particularly for children among IDPs. Due to a lack of social ties and financial resources, many IDP families could not provide recreation for their children.

At the initiative of the IDP Council, a needs assessment was conducted, followed by a round table on child protection during the war and a Forum Theater workshop featuring a performance on the integration of IDP children. IDPs, local authorities, and partners participated in the events.

As a result, the city health improvement program was reinstated for 2024–2025, with funding increased to UAH 11.6 million. The program now covers 30% of students in grades 1–8. The IDP Council’s work contributed to the program’s reinstatement, which had a positive impact on the entire community.

How to prepare presentation materials?
Consider the following rules:

  • Simplicity and clarity: avoid bureaucratic language; speak briefly and in plain language.
  • Visualization: use icons, infographics, graphs, and examples.
  • Focus on results: avoid bullet lists; write stories of change.
  • Clear structure: build your narrative in the format “what it was — what was done — what changed.”
  • Security: Do not publish personal data without a person’s consent.

How to organize an effective public presentation?

  • Define the goal: what do you want the audience to understand?
  • Prepare a short presentation in a consistent style.
  • Add real-life examples to increase trust.
  • Use Council branding (logos, contact information, etc.).
  • Involve partners and the media to increase reach.
